Scholarly Activity

The School of Medicine supports student scholarly activity by providing reimbursement for eligible conference presentation and publication expenses. Eligibility requirements and reimbursement procedures are described below. 

All requests and supporting documentation must be submitted electronically to the Office of the Dean (officeofthedeansgusom@sgu.edu).

Conference Presentation Reimbursement

Eligibility

The School of Medicine reimburses students for eligible cost associated with attending a professional conference at which they are presenting an abstract or poster. Reimbursement is available once per student, up to a maximum of USD 1,000.

To qualify, the abstract or poster must clearly identify the student's SGU affiliation. Official logo and branding guidelines are available from the Office of University Communications on the SGU website.

Before Conference Attendance

Students must obtain preliminary approval before attending the conference by submitting:

  • Conference invitation or acceptance notification
  • Abstract or poster to be presented

After Conference Attendance

Following the conference, students must submit:

  • Itemized receipts for eligible expenses (travel, lodging, meals, and other reasonable conference-related expenses)
  • Completed W-9 form (US citizens only)
  • Current mailing address for reimbursement
  • Student identification number

Expenses related to alcohol, gratuities, or charges deemed unreasonable by the Office of the Dean are not reimbursable. Reimbursement is typically issued by check within approximately four weeks after all required documentation has been received. 

Students are encouraged to submit a news item describing their scholarly work for possible inclusion in University publications.

Publication Cost Reimbursement

Eligibility

The School of Medicine reimburses students for publication fees associated with manuscripts accepted for publication in non-predatory, peer-reviewed journals. 

The manuscript must cover a medically relevant topic and clearly identify the student's affiliation with St. George’s University School of Medicine.

Before Manuscript Submission 

Before submitting a manuscript to a journal, students must submit the journal name and manuscript for review and approval. 

After Manuscript Acceptance

After the manuscript has been accepted for publication, students pay the publication fee and submit the following materials to request reimbursement: 

  • Publication invoice
  • Documentation of acceptance
  • Accepted manuscript
