Policy on Auditing Classes

I. Purpose

This policy outlines the rules and procedures for students and other eligible individuals who have been granted permission to audit classes at SGU. Auditing allows individuals to attend and participate in a course without receiving academic credit or a grade.

II. Scope

This policy applies to:

  1. Degree-seeking students (undergraduate and graduate)
  2. Non-degree-seeking students

III. Definition of Audit

To "audit" a class means to enroll in and attend a course without receiving a grade or academic credit. Audited courses do not count toward degree requirements, weighted mean percentage grade (WMPG) or grade point average (GPA) calculations.

IV. Eligibility

The following individuals may apply to audit courses within their registered degree program, subject to availability and instructor and departmental Chairs approval:

  1. Currently enrolled students in good academic standing
  2. Non-degree-seeking students approved through the Office of the University Registrar

V. Audit Enrolment Process

V.I   Audit Request Submission

  1. Students must submit an Audit Request Form to the Office of the University Registrar by the published Audit Deadline each term (typically the end of the Add/Drop period).
  2. Payment of any applicable audit fees must accompany the request.

V.II   Enrolment Confirmation

  1. Once approved, the course will appear on the student’s transcript with a grade of "AU" (Audit).
  2. No credit or grade is earned, and the course may not be converted to a for-credit course retroactively.

VI. Audit Course Regulations

VI.I Participation Requirements

  1. Auditors are expected to participate in didactic classes regularly and are subject to the syllabus participation requirements for the didactic component of the course.
  2. Auditors are not permitted to complete written or practical assignments or examinations; formative assignments; quizzes; discussions, etc.

VI.II Restrictions

  1. Course components including labs, clinical or hospital settings, community service-learning components, practical performance components, or group work are not available for auditing.
  2. Auditing is not permitted in courses designated as limited-enrolment, graduate seminars, or those with licensing/accreditation restrictions.
  3. Financial aid does not cover audited courses.
  4. Audited courses do not fulfil prerequisite requirements, degree requirements, or graduation requirements.

VII. Fees

  1. A reduced per-credit audit fee is charged to the student's account. Fee structures are published by the Office of the Bursar.
  2. University employees enrolled as students may be eligible for a waiver or discount in specific programs.

VIII. Withdrawal

  1. Auditors who wish to withdraw from a course must follow standard withdrawal procedures.
  2. A grade of "AUW" will be recorded.

IX. Review and Revision

This policy will be reviewed every three (3) years or as necessary by the Office of the University Registrar in consultation with the Provost’s Council.
