University Assemblies Policy

I. Purpose

University Assemblies are a forum for the President’s Office and Vice Presidents to provide updates on the strategic direction, operations, and priorities of SGU. These assemblies foster transparency, engagement, and communication across all Schools and administrative units by bringing faculty and staff together for joint discussion and institutional alignment.

II. Scope

This policy applies to all Schools and administrative divisions of SGU. Assemblies are intended for all faculty and staff members, and other stakeholders may be invited at the discretion of the President’s Office.

III. Frequency and Scheduling

1. Biannual Assemblies – Assemblies will be held a minimum of twice each academic year:
2. Fall Semester Assembly – scheduled early in the academic year.
3. Spring Semester Assembly – scheduled mid-year.
4. Scheduling Authority – The President’s Office is responsible for scheduling assemblies and circulating dates in advance.
5. Format – Assemblies will be held in-person, with online options for satellite campuses and facilities, to ensure maximum participation.

IV. Leadership and Structure

1. Convening Authority – The University President (or a designated Vice President) presides over the Assembly.
2. Presentations – Vice Presidents may provide operational updates within their respective portfolios (e.g., academic affairs, student affairs, finance, research, community engagement).
3. Agenda Development – The President’s Office will coordinate the agenda, including time for questions and discussion.
4. Documentation – A summary or recording of the Assembly will be made available to the SGU community within a reasonable timeframe following the meeting.

V. Participation

1. Faculty and Staff Invitation – All faculty and staff across the schools and all administrative/operational units are invited to attend.
2. Attendance Expectations – Attendance is required as Assemblies provide essential updates on institutional priorities and initiatives; departmental chairs and managers are also expected to attend and monitor their departmental involvement.
3. Engagement – Attendees are expected to participate constructively, in keeping with SGU’s standards of professional conduct and collegiality.

VI. Governance and Oversight

1. The President’s Office has primary responsibility for planning, facilitating, and ensuring the effectiveness of University Assemblies.
2. This policy will be reviewed every three (3) years by the Office of the President to confirm that Assemblies continue to meet SGU’s communication and engagement needs.
