Basic Sciences Grading Policies

Each course in the basic sciences comprises points from written standardized assessments, points for professionalism and participation in formative assessments and scheduled class activities and assignments, and points for practical and clinical skills assessments. A sequence of summative written assessments aligned to the module content and delivered as standardized examinations to the cohort is used in each course. Each course also has a comprehensive examination for the assessment of all clinical knowledge delivered in the curriculum to that point. Scoring of assessments is done across the cohort with application of standard score calculations across the cohort for all students. Each assessment will contribute points to the overall grade, and the course syllabus defines the different assessments and their weighting in the calculation of the final grade for the course. The grading of the course follows the grade designations detailed.

Students’ transcripts reflect students’ achievement of course requirements and their academic performance. Students have access throughout the term to review their gradebooks to ensure all scores are accounted for and to request a review of participation records. 

After each exam, students who wish to query an examination score should file a report to the course director within 24 hours of the posting of the score using the Grade Query Form on the LMS. The course director will review the student's score and report the result of the review in writing to the student within 5 business days of the submission of the query.

Final Grade Provision

Course directors will post final grades to the LMS within 3 business days from the date of the last regularly scheduled examination of the course (or exam window for programs with multiple exams in the final week) and make an appropriate announcement to all students. Students with completion examinations will receive an "I" final grade until their completion exams have been completed. Final grades of students with completion exams will be posted within 2 business days of the last required completion examination.

Final Grade Queries

Students who wish to contest a final course grade due to a factual error (e.g., missing elements, missing points, calculation error, weighting error) should file a report to the course director within 24 hours of the posting of the final course grade using the Grade Query Form.  The Grade Query Form is accessible on the course LMS site.  

Students querying a grade they believe is inaccurate must provide evidence of the factual error, such as:

  • Discrepancies between ExamSoft mastery reports and gradebook entries,
  • Incorrect summation of scores in the gradebook,
  • Other verifiable clerical or recording errors

Queries must include documentary evidence of the alleged error or some verifiable basis for the query. Queries that lack evidence, or that are based on personal extenuating circumstances (e.g., illness, anxiety, family issues, inability to meet course requirements), do not constitute a valid grade query.

The course director, in consultation with other course leadership, will review properly filed grade queries and provide a determination in writing to the student within 24 hours, before the deadline for grade finalization.
