Guidance Document for Reporting Concerns to the Grenada Medical and Dental Council (GMDC)
Purpose

St. George's University School of Medicine (SGUSOM) is committed to maintaining compliance with the standards established by the Grenada Medical and Dental Council (GMDC) and to providing students with accessible processes for raising concerns regarding their educational experience.

Students are encouraged to report concerns through the University's established policies and procedures so that issues may be reviewed and addressed promptly and fairly. In most circumstances, concerns should first be addressed through the appropriate institutional processes.

Institutional Reporting Processes

Depending on the nature of the concern, students should use the applicable University process, which may include:

  • Reporting concerns to the appropriate course or clerkship director, department chair, dean, or other responsible administrator.
  • Using the Student Mistreatment Reporting process for concerns involving mistreatment.
  • Utilizing established grievance, appeals, or complaint procedures described in University policies.
  • Reporting concerns through other designated institutional reporting mechanisms, as applicable.

The University reviews reported concerns in accordance with its policies and implements corrective actions when appropriate.

Documenting Concerns

Students are encouraged to keep records of their concerns, including relevant dates, communications, and any supporting materials. Maintaining documentation can help ensure that concerns are presented clearly and completely, whether reported through University processes or to the GMDC.

Reporting Concerns to the GMDC

If a student believes that a concern relates to the School's compliance with GMDC accreditation standards or other matters within the GMDC's regulatory authority, the student may submit the concern directly to the GMDC. Students are encouraged to use the University's applicable reporting processes first so that the University has an opportunity to review and address the concern. However, use of institutional processes is not a prerequisite to submitting a concern to the GMDC.

Examples of concerns that may be appropriate for referral include allegations that the School is not complying with GMDC accreditation standards, educational requirements, or other regulatory obligations under the Council's authority.

The GMDC's regulatory authority generally relates to accreditation standards and educational requirements rather than to routine academic appeals such as individual grade disputes.

How to Contact the GMDC

Students who wish to submit a concern to the GMDC may do so in accordance with the GMDC Complaint Policy using the GMDC Complaint Form. The GMDC may also be contacted at admin@gmdc.gd.

If a student has raised a concern through the University's institutional processes and has not received a response within a reasonable period, that may also be reported to the GMDC.

What to Expect After Reporting

When a concern is reported through the University's institutional processes, the University will acknowledge receipt and review the matter in accordance with applicable policies. Students will be informed of the outcome or status of their concern as appropriate and to the extent permitted by applicable policies.

For concerns submitted to the GMDC, the GMDC's processes and timelines will govern. Students may contact the GMDC directly for information regarding the status of any concern submitted to the Council.

Protection from Retaliation

SGUSOM prohibits retaliation against any student who, in good faith, reports a concern through University processes or directly to the GMDC. Students who believe they have experienced retaliation should report the matter promptly through the University's established reporting procedures, including through the Office of Student Affairs (studentaffairs@sgu.edu) and anonymously or non-anonymously through EthicsPoint, the University's confidential reporting platform, available at https://secure.ethicspoint.com/domain/media/en/gui/57112/index.html

Confidentiality

The University will treat reported concerns with appropriate confidentiality to the extent permitted by law and University policy. Information related to a report will be shared only with those individuals who have a legitimate need to know to review and address the concern. Students should be aware that some matters may require disclosure to comply with legal or regulatory obligations.
